How to create multiple management console users

Create multiple management users and assign them specific zones, vehicle types, services, and teams to handle different responsibilities.

You can create multiple user accounts for the Management Console panel and assign each user a specific role, such as Dispatcher, Admin, or Scanner, with customized access permissions. Users can also be assigned responsibility for specific zones, driver teams, services, or vehicle types, making it easy to manage access and responsibilities across your operation.

How Users and Groups Work Together

Users and groups are both essential and designed to work together for managing access and responsibilities in the Management Console panel.

Groups define which parts of the system users can access, such as the Dispatcher or Admin panels, and what actions they are allowed to perform within them. In simple terms, a group is a reusable set of permissions that determines what users in the group can see and do in the system. You can have as many groups as you want, each with different permissions, and assign them to multiple users.

Users are personalized accounts for your team members, used to log into the system.
Each user represents a specific account with a username, password, and profile information and must be assigned to a group, which defines their main permissions and determines which panels and actions they can access. In addition to group permissions, a user can also be limited to specific services, zones, driver teams, or vehicle types, which defines the exact part of the operation they are responsible for.

Step 1: Creating a Group

As mentioned in the previous section, groups allow you to organize and manage multiple users within the management console by assigning them specific permissions and access levels (such as dispatcher, admin, or scanner).

Step 2: Creating a new user:

To create a new user, access the Admin Center and follow the path below:

Settings → Users & Groups → Users (tab) → New (button)

Provide the required information:

  • Username: Enter a unique username using letters, numbers, underscores, or dashes.

  • Password: Set a strong password for the user.

  • Name: Enter the user's full name.

  • VoIP Line (Optional): If your company doesn't use VoIP, leave this field empty.

  • Intercom Access Type: This defines the user’s access to Onro Support:

    • Knowledge Base: Users can only access knowledge base articles (guides).

    • Ticket & Knowledge Base: Users can access the knowledge base and create tickets and have conversations in Intercom (our support channel), allowing our support team to assist with any issues or questions. (Limited to a maximum of 2 users for ticket access.) You can learn more about intercom access types here.

    • None: Users won't be able to access the knowledge base and the ticketing system.

  • Email: Enter the user's email address ( only required for ticket & knowledge base intercom access type)

  • Group: Choose the group you want this user to belong to (If none exists, return to the previous step to create one).

  • Services: Choose the services the user will be responsible for.

  • Teams: Choose which driver teams the user will manage.

  • Zones: Select the zones the user is responsible for.

  • Vehicle Types: Choose which types of vehicles the user will manage.

The user will only have access to the services, vehicle types, driver teams, and zones you assign to them. They won’t be able to view, manage, or create orders outside of their assigned permissions.

After providing the required information, click on the submit button to create the new user. By repeating this process, you can create multiple management console users, each responsible for specific services, zones, driver teams, and more.
