How to Settle COD with Customers

Learn how to reconcile the COD with your customers in the system.

When a customer or business creates an order with a COD amount, the driver collects that cash from the recipient at delivery. Once the driver has returned the money to the company, the COD amount needs to be paid out to the customer.

This article explains how to settle COD with customers in the system by recording the payout and updating their wallet so the collected funds are correctly transferred.

When the COD amount becomes available to the customer

As soon as the driver completes an order that includes COD, the system automatically records the COD amount in the customer’s wallet. This means the customer can see the COD amount in their wallet balance right after the order is marked as completed, without waiting for the driver to return the cash or for any manual action from you (the courier company).

Clearing the COD balance from the wallet

The COD amount needs to be paid to the customer outside the system, such as by bank transfer, cash, or any other method you prefer. After that, you’ll need to reconcile their wallet to keep the balance accurate.


You can do that in one of two ways:

Customer requests a withdrawal

The customer can request a withdrawal of the COD amount directly from the customer app or portal.

Withdrawals are disabled for customers by default. You must first enable the Withdraw settings to allow customers to request withdrawals through the app or portal.

Once the customer submits the withdrawal request, you can manage it in the Admin Center.

After you approve(complete) their withdrawal request, the amount is automatically deducted from the customer’s wallet, and the reconciliation is done.

2. You manually record the payout

If the customer doesn’t request a withdrawal, or you prefer to handle it yourself, create a Debtor transaction for the same amount in their wallet to reconcile the COD balance.

To do this, follow this path:

Admin Center → Accounting → Customer Transaction (tab) → New (button)

In the opened window, fill in the form:

  • Customer: Search for the customer's name and select it from the list.

  • Amount: Enter the COD amount here.

  • Source: Set the source to Support COD.

  • Type: Set the type to Debtor.

  • Description (optional): Enter any additional information for this transaction.

  • Click Submit to create the transaction.

This reduces the COD amount from their balance and clears the reconciliation.
